Refund and Cancellation Policy
This policy explains how cancellation works and when fees are (and are not) refunded for NEXT BASKET platform subscriptions and related one-time services. It supplements, and ranks below, the Master Subscription Agreement; prices themselves are shown on the pricing page, which is last in the order of precedence.
Effective date: 23 July 2026
Document version: Version 1.0 — effective 23 July 2026
1. Scope and relationship to your agreement
This policy is issued by Next Basket Platform B.V. (trading as NEXT BASKET AI) and applies to paid subscriptions to the NEXT BASKET platform and to related one-time charges (such as setup and migration services). It is incorporated into, and ranks below, the Master Subscription Agreement and any signed Order Form — if they conflict with this policy, they govern.
The platform is offered to business customers only (B2B). Statutory consumer withdrawal or "cooling-off" rights aimed at personal, family, or household purchases are therefore not intended to apply; nothing in this policy excludes rights that mandatorily apply notwithstanding that classification.
2. How to cancel
You can cancel your subscription online, from your account dashboard, at any time — the cancellation method is at least as easy as the method you used to subscribe. Cancellation stops the next automatic renewal; it takes effect at the end of the current paid billing period, and you keep access until then. Whether any portion of fees already paid is refunded is set out below, per fee type.
3. Monthly subscription fees
- Refund after the billing period has started
- Monthly subscription fees are non-refundable once the billing period has begun, except (a) where a refund is required by applicable law, (b) where NEXT BASKET fails to activate or deliver the subscribed service, or (c) where NEXT BASKET has given an express written guarantee. In those cases the refund is limited to the fee for the service not delivered.
- Effect of cancellation
- Cancelling stops the next automatic renewal. It takes effect at the end of the current paid month, and you keep access until then.
4. Annual subscription fees
- Refund after renewal
- Annual subscription fees are non-refundable once the annual term has renewed, except where a refund is required by applicable law. If NEXT BASKET terminates the subscription without cause, or permanently removes a material paid feature without providing a reasonable replacement, the fees for the unused whole months remaining in the paid term are refunded on a pro-rata basis.
- Switching from annual to monthly
- You can switch from an annual to a monthly plan; the change takes effect at your next renewal, and the annual term already paid for runs to its end.
5. Setup fee (done-for-you store build)
- Before work begins
- The setup fee is fully refundable if you cancel before we start the setup work.
- After work has begun
- Once we have started the setup work, a refund covers only the portion of the service that is demonstrably not delivered.
- After delivery or acceptance
- Once the setup is delivered or accepted, the fee is non-refundable, except where there is a material non-conformity that NEXT BASKET does not remedy.
6. Migration fee
- Before work begins
- The migration fee is fully refundable if you cancel before the migration work starts.
- After work has begun
- Once migration has started, refunds are calculated by reference to the milestones already completed.
- After a completed migration
- Once the migration is successfully completed, the fee is non-refundable, except where a material defect that is NEXT BASKET's fault is not remedied.
7. Early cancellation (before a minimum commitment ends)
- Cancelling during a minimum term
- Where a plan includes a three-paid-month minimum, you may cancel during that period, but the cancellation stops future renewals only after the minimum term ends, and the subscription fees for the remaining months of the minimum term remain due.
- What becomes due on early cancellation
- If you cancel before the three-paid-month minimum is complete, the remaining monthly fees needed to reach that minimum become due. There is no separate early-termination penalty or setup fee on top of those remaining fees.
8. Failed migration
- If a migration fails mainly due to us
- If a migration cannot be completed and the failure is predominantly our fault, we first attempt a retry or offer a reasonable alternative. If delivery still proves impossible, we refund the migration charge together with any unused prepaid subscription fees attributable to the part of the service not delivered.
- If a migration fails due to customer-side causes
- No refund is due where the failure results from incomplete or incorrect customer data, missing credentials, unsupported third-party systems, or customer delay. We offer reasonable assistance to help resolve such issues.
9. Service not delivered
- Paid but not activated / not delivered
- If a paid service is not activated or delivered, the fee for the undelivered service is refunded in full. Approved refunds are initiated within 10 business days and no later than 14 business days.
- Extended outages once the service is live
- For outages of a service that has been delivered, the remedy is the service credits set out in the applicable Service Level Agreement, rather than a refund under this policy — unless the service was not delivered at all.
10. Promotional pricing (including the $1 first month)
Promotional prices — such as the advertised $1 first month on eligible plans — apply only for the promotion’s stated period and conditions, as shown on the pricing page. After the promotional period, the subscription renews at the standard price unless you cancel before renewal.
- Refund of promotional-period charges
- The promotional first-month charge is non-refundable, except where activation fails due to our fault.
- Promo eligibility and abuse
- Unless the offer states otherwise, a promotion is available once per legal entity, store domain, payment method, and beneficial owner. Fraud, duplicate accounts, or other attempts to circumvent these limits void eligibility.
11. Chargebacks
If you believe a charge is incorrect, please contact us first — most billing issues can be resolved directly and faster than through a card dispute.
- Effect of a chargeback on the account
- We first try to resolve billing concerns in good faith. Where there is a credible case of fraud, a security risk, or an unpaid valid charge, we may suspend the account proportionately after giving notice where practical. Access is restored once the underlying issue is resolved.
- Costs and responsibility
- You remain responsible for charges that are valid, and for only those dispute-related costs that are legally permitted and actually incurred. Card disputes are handled through the process operated by our payment processor, Stripe.
12. How refunds are paid
Where a refund is due under this policy, it is issued to the original payment method via our payment processor (Stripe).
Approved refunds are paid within 10 business days of approval; your payment provider may need additional time to settle the amount to your account. Currency-conversion differences and bank charges are not refunded, except where refunding them is required by law.
